Conference and Events Coordinator

Overview
We are seeking a highly organised and proactive Conference and Events Coordinator to join our Client’s dynamic team. The ideal candidate will be responsible for planning, coordinating, and executing a variety of conferences and events, ensuring seamless experiences for clients and guests alike. This role offers an excellent opportunity to utilise strong communication, organisational, and hospitality skills within a vibrant environment dedicated to delivering exceptional event experiences.

Duties

  • Coordinate all aspects of conference planning, including venue selection, catering arrangements, technical requirements, and accommodation bookings.
  • Liaise with clients to understand their needs and customise event programmes accordingly.
  • Manage event schedules to ensure timely execution of all activities.
  • Oversee on-site event setup and breakdown, ensuring all elements are executed to high standards.
  • Provide exceptional guest services during conferences, addressing any issues promptly and professionally.
  • Collaborate with vendors, suppliers, and internal teams to ensure smooth communication and delivery of services.
  • Maintain detailed records of bookings, contracts, and client preferences for future reference.
  • Travel – predominantly within Europe but with some long haul locations

Requirements

  • Proven experience in Corporate Events administration or delivery is highly desirable.
  • Strong organisational skills with the ability to manage multiple tasks simultaneously under tight deadlines.
  • Excellent time management skills to ensure all aspects of the conference are executed efficiently.
  • Effective communication skills for liaising with clients, vendors, and team members.
  • Project Administration Experience
  • Proficiency in MS Office
  • Willingness to travel Internationally
  • You should be a real Team Player in a fast-paced environment.
